Data Deletion Instructions

1. Your Right to Deletion

Spartan Media LLC ("we", "us", "our") operates the NEXUS platform (ws.espartan.net). You have the right to request the deletion of your personal data and any data associated with your account at any time. This page describes how to make that request and what happens after we receive it.

2. What Data We Can Delete

Upon a valid deletion request, we will delete the following information held by NEXUS:

  • Account profile (name, email, phone number, company name)
  • Authentication credentials
  • Messages received from and sent to your customers through WhatsApp, SMS, Facebook Messenger, and Instagram
  • Contact lists and lead records imported or generated through the platform
  • AI bot configuration, knowledge base, and conversation history
  • Connected WhatsApp Business Account (WABA) credentials and tokens stored on our side
  • Connected Facebook Page and Instagram Business Account tokens stored on our side
  • Analytics, usage logs, and audit records associated with your account
  • Billing records that are not legally required to be retained

3. How to Request Deletion

You can request deletion of your data through any of the following channels:

  • Email (preferred): Send a message to sales@espartan.net with the subject line "Data Deletion Request". Include the email address associated with your NEXUS account and, if applicable, the WhatsApp Business Account ID or Facebook Page ID you want disconnected.
  • WhatsApp: Message us at +1 (703) 705-4977 with the phrase "Data Deletion Request" and the email address tied to your account.
  • In-app: Once logged in at ws.espartan.net, go to Settings → Account → Delete Account. This action permanently disables your account and triggers our 30-day deletion process automatically.
  • Postal mail: Spartan Media LLC, 306 Pomona Dr, Ste B, Greensboro, NC 27410, USA.

4. Verification

To protect your privacy, we will verify your identity before processing a deletion request. We may ask you to:

  • Confirm the request from the email address registered to the NEXUS account, or
  • Confirm the request from the WhatsApp number registered to the NEXUS account, or
  • Provide any other reasonable proof of ownership we may request.

5. Timeline

  • Within 3 business days: we acknowledge receipt of your request.
  • Within 30 days: your data is permanently deleted from our production systems, including any AI training datasets we maintain.
  • Within 90 days: residual copies are removed from our encrypted offsite backups during the next backup rotation cycle.

6. Meta / WhatsApp / Facebook Data

NEXUS connects to Meta APIs (WhatsApp Business Platform, Facebook Messenger, Instagram Messaging) on your behalf. When you request deletion, we will also:

  • Revoke the access tokens NEXUS holds for your WhatsApp Business Account, Facebook Page, and Instagram Business Account.
  • Unsubscribe NEXUS from your WhatsApp Business Account webhooks.
  • Stop processing any messages received from these channels on your behalf.

Please note that any data that has already been delivered to or originated from Meta's own infrastructure (for example, message history visible on the WhatsApp app or Facebook Page Inbox) is governed by Meta's data policies. To delete that data, please follow the instructions provided by Meta:

7. What We May Retain

We may retain certain information when required by law or to comply with our legal obligations, such as:

  • Tax and accounting records required by U.S. and North Carolina law (typically 7 years).
  • Records necessary to resolve disputes or enforce our agreements.
  • Aggregate, anonymized analytics that cannot be linked back to you.
